Full-Time: Administrative Assistant

 Ministry Description 

The individual in this position provides administrative support in carrying out the responsibilities of the church office. This individual is also the primary administrative assistant for the church staff. The successful candidate carries out these functions while providing a cheerful and organized atmosphere for all who enter or contact the church while meeting the needs of staff, guests, volunteers, and congregants with care and discretion.

Reports to: Executive Director

Overview of Areas of Responsibility 

  • Aid Ministerial Staff. Provide ongoing assistance to staff in their church administrative needs relating to document writing, presentation assistance, sermon prep, content distribution, and event setup.
  • Task Management. Help the staff with administrative tasks relating to events, trips, and general correspondence.
  • Pastoral Calendar Management. As requested, manage the calendars of the pastors, book counseling appointments, and help staff to be aware of upcoming events that require special attention.
  • Counseling Coordination. Aid in the process of ensuring no one pastor is overtaxed/overcommitted in their current counseling load, and that the counseling is evenly distributed whenever possible.
  • Planning Center Administration. Aid in the behind-the-scenes work of event registrations, managing profiles, Next Steps workflow, and following up on memberships and baptisms.
  • Office Administration. Ensure needs such as photocopying, emailing, and returning phone calls are completed promptly.
  • Office Management. Ensure office supplies are properly stocked, which includes regularly taking inventory and ordering supplies, and office is kept in an orderly manner.

 

Essential Administrative Assistant Functions 

  • Email Organization. We expect timely and courteous responses to all church emails that you are responsible for maintaining.
  • Planning Center Awareness. Planning Center is a web database program we use. Staff will sometimes rely on you to provide timely information based on our database.
  • Communication. Staff will be relying on you to return phone calls, emails, and sometimes letters to communicate promptly in a way that represents the Lord and the church well.
  • Filing. Documentation of important church functions should be filed and organized appropriately.
  • Sermon Content. When needed, create PowerPoints based on sermon content, and distribute sermon content to the ministries in need of them. Following Sunday services, format sermon notes to be shared on the website.

 

Education, Experience, and Biblical Qualifications

This position requires: 

  • A joyful, servant spirit
  • Ability to exercise discretion when scheduling counseling sessions for pastors
  • The successful individual will need to possess a solid, Christ-honoring work ethic and a passion for excellence in administration and project follow-through
  • An active and growing personal relationship with Jesus Christ, evidenced by action, attitude, and behavior
  • A desire to serve the pastors/church staff/ministry leaders and their administrative needs
  • Experience in people relations and administrative problem-solving
  • Effective communication skills (written, verbal, and interpersonal)
  • Proficiency with basic computer software (Microsoft Suite [Word, Excel, PowerPoint, etc.] and Google Workspace [Docs, Sheets, Forms, etc.])
  • Capacity to learn new software (Canva, iMovie, others)

 

An Overview of What the Elders Are Asking of You: 

1. Demonstrate submissiveness to the Eldership of Fellowship Bible Church in all areas, always striving to uphold the Elder Council and seeking the success of our church vision. This requires all ministries to serve one another to see the growth of the body as a whole. 


2. Proactively pray for the body of Fellowship Bible, its ministries, and its members. 


3. You will be expected to work at least 35 hours a week. There are weeks when that number could go up.

4. Your presence during office hours (Monday – Thursday, 8 am – 4 pm) unless church responsibilities require you to be offsite.

5. Endorsement and participation in church endeavors such as services, classes, and a Connection Group.

6. Serve where needed during Sunday morning services and church-wide events.

2. Uninterrupted bi-weekly salary.

3. Provision of rest days during the week: (Friday and Saturday).

4. 2 weeks of paid vacation.

5. 5 days of paid personal/sick time.

6. Time to be used towards your ongoing education (must be approved in advance).
