Ministry Description

The Student Ministry Coordinator provides administrative, organizational, and relational support for Fellowship Bible Church's ministries to children and students from infancy through 12th grade. Working under the direction of the Student Ministry Pastor, this role supports the Student Ministry Pastor and Children's Ministry Director by overseeing administrative systems, serving as one of the main points of contact for children, families, and volunteers, and ensuring that preparation and execution for ministry are completed effectively, with excellence and care.

Core Areas of Responsibility

ADMINISTRATIVE SUPPORT — Provide administrative support to the Student Ministry Pastor and Children's Ministry Director by maintaining registrations, records, forms, schedules, and other systems necessary for effective ministry operations.

BASECAMP (SUNDAY MORNING PROGRAMS) — Oversee volunteer coordination, classroom preparation, curriculum distribution, check-in procedures and presence, and supplies.

STUDENT/FAMILY EVENTS — Assist in the planning, preparation, and execution of events for children, students, and families, including special nights of youth group, retreats, camps, outreach opportunities, trainings, and church-wide activities.

COLLABORATING/PLANNING — Work closely with the Student Ministry Pastor and Children's Ministry Director to plan programs, coordinate calendars, identify needs, and carry out the goals of Student Ministries. Participate in regular team meetings and help track plans, deadlines, and achieve goals.

COMMUNICATIONS — Manage clear, timely, and consistent communication with children, students, parents, and volunteers. Prepare and distribute ministry updates, event information, registration details, reminders, and promotional materials across the appropriate communication platforms.

Essential Student Ministry Coordinator Functions

1. Administrative Support:

  • Oversee Planning Center hub and its registrations, records, forms, and databases.
  • Prepare schedules, documents, rosters, and materials for programs and events.
  • Track attendance and participation for weekly programs and special events.
  • Coordinate printing, copying, and preparation of curriculum, signage, and communication materials
  • Keep up to date with proper forms such as clearances or permission slips for those involved in Student ministry.
  • Submit room requests, Purchase Orders, and assist with student ministry related purchases.

2. Basecamp:

  • Coordinate weekly Basecamp volunteer scheduling
  • Prepare classrooms, curriculum, and weekly supplies needed.
  • Serve as the Sunday morning check-in liaison and help address basic needs that arise.
  • Help maintain a safe, organized, and welcoming environment for children.
  • Support the Basecamp Teachers and Team.
  • Assist in volunteer recruitment.

3. Student and Family Events:

  • Assist with the planning and execution of events for children, students, and families.
  • Manage registrations, forms, payments, supplies, and event details.
  • Help ensure events are organized and run smoothly.
  • Be present to events as needed.

4. Collaboration and Planning:

  • Participate in regular Student Ministries team meetings.
  • Work with the Student Ministries Pastor and Children's Ministry Director to coordinate programs and calendars.
  • Track deadlines, responsibilities, and follow-up items.
  • Help identify needs and support the ministry team in carrying out plans

5. Communications

  • Manage clear and timely communication with families, students, volunteers, and staff.
  • Prepare ministry updates, reminders, event details, and announcements.
  • Maintain email lists, contact groups, and communication platforms.
  • Help ensure information is accurate, consistent, and distributed on time

6. Church Family Engagement

  • Build relationships with children, students, parents, volunteers, and other members of the church family.
  • Help connect new families to the appropriate ministries, programs, and leaders.
  • Provide presence at church gatherings and ministry events to strengthen relationships and identify needs.
  • Remain attentive to individuals who may be a good fit for serving in Student Ministry.

Education, Experience and Biblical Qualifications

This position requires:

  • Active and growing personal relationship with Jesus Christ, evidenced by action, attitude and behavior.
  • Strong leadership skills combined with a solid work ethic.
  • A passion for ministry and to see others grow in their faith.
  • A heart to connect with the next generation and their families and to push them towards Christlikeness.
  • Effective communication skills (written, verbal and interpersonal).
  • Competency with computer software (Excel, Word, Publisher, Power Point, etc.), and the capacity to learn new software (Photoshop, Canva, iMovie, others).
  • Submission to the FBC Statement of Faith.
  • At least a high school diploma. Pursuing a Biblical or Pastoral degree is preferred.
  • Previous experience in ministry, leadership, or related area.

An Overview of What the Elders Are Asking of You:

  1. Demonstrate submissiveness to the Eldership of Fellowship Bible Church in all areas, always striving to uphold the Elder Council and seeking the success of our church vision. This requires all ministries to serve one another to see the growth of the body as a whole.
  2. Pro-actively pray for the body of Fellowship Bible Church, its ministries and members.
  3. You will be expected to work 15-20 hours a week between office hours, services, ministry and related activities. There are weeks where that number could be slightly more.
  4. Your presence during office hours (unless church responsibilities require you to be offsite and unless it is your day off). This includes staff meetings (Tuesdays, 11:00am-12:00pm) and Student Ministry team meetings (time tbd).
  5. Endorsement and participation in church endeavors such as services, classes and a Connection Group.
